Job Description

NYC based Real Estate firm is seeking a self-motivated and experienced Executive Assistant on a contract basis. The ideal candidate will have several years of administrative experience in a similar job function. Previous experience in finance/real estate is preferred.

Hybrid schedule: on-site 4 days per week

Hourly pay rate: $40-$45/hr

Hours: 8:30am - 5:30pm

Responsibilities:

  • Support executives with calendar management and serve as a main point of contact
  • Manage calls, email correspondence and handling inquiries on behalf of executives
  • Assist with the coordination of meetings/events and create materials for distribution
  • Conduct research and draft, edit, and finalize e-mail correspondence and other documents
  • Review incoming communication, maintain accurate paper and electronic filing
  • Process invoices, expenses and coordinate travel arrangements
  • Draft correspondence and compile presentations
  • Coordinate with other teams and work on special projects, as needed

Requirements:

  • Minimum 5+ years of Executive Assistant experience, ideally within finance/real estate
  • Strong technical skills including proficiency in Microsoft Office Suite and Concur
  • Quick learner of new systems and databases
  • Critical thinker with excellent judgment and ability to provide solutions independently
  • Excellent communicator with team and executives
  • Ability to work under tight deadlines
  • Flexible attitude with the ability to work in a fast-paced environment and multi-task/prioritize
