Executive Administrative Assistant

Key Responsibilities

  • Provide direct, high-level administrative support to the CEO/Chairman, serving as their trusted right hand.
  • Manage the CEO/Chairman’s complex calendar, meetings, and travel logistics, often across multiple countries and time zones.
  • Coordinate and draft internal and external communications in fluent Spanish and English, ensuring tone and messaging align with executive standards.
  • Join the CEO on certain domestic and international trips to manage meeting logistics and support real-time needs.
  • Document key discussions and action items during meetings, ensuring timely and accurate follow-up with all relevant stakeholders. Prepare and distribute meeting minutes, track deliverables, and proactively follow up on outstanding tasks to ensure alignment and accountability across teams
  • Handle confidential information and sensitive communications with absolute discretion.
  • Monitor, prioritize, and respond to communications on behalf of the CEO.
  • Collaborate with internal departments and external partners, acting as a liaison to ensure follow-through on key initiatives.
  • Prepare executive-level presentations, reports, and correspondence, often under tight deadlines.
  • Identify process improvement opportunities and streamline administrative workflows.
  • Support company initiatives that reflect Ahern’s mission, values, and commitment to customer success.

Qualifications

  • Full professional fluency in English—written and spoken—is required.
  • Full professional fluency in Spanish —written and spoken—is desirable.
  • Minimum of 4 years of experience supporting senior executives in a corporate or multinational setting.
  • Exceptional communication skills, with an ability to write clearly, professionally, and with cultural sensitivity.
  • High emotional intelligence, discretion, and the ability to manage competing priorities.
  • Proven experience coordinating international travel and high-level meetings.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); ability to learn new systems quickly.
  • A proactive mindset with strong problem-solving skills and a service-oriented approach.
  • Bachelor's degree in Business Administration or related field preferred.

Additional Requirements

  • Must be available for occasional travel up to 20%
  • Ability to work flexible hours and respond promptly to time-sensitive needs.
  • Must be able to sit for extended periods and occasionally lift up to 15 pounds.

Work Schedule & Environment

  • This is a full-time, exempt position based in San Diego, CA.
  • Work is in office Monday-Friday, 8am to 5pm.
  • Work schedule may change according to CEO/Chairman schedules and needs.

Salary Range: $70,000–$80,000 annually, and negotiable based on experience
