Summary:

Seubert & Associates, Inc. is seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide high-level administrative support to the President and senior leadership team. This role will be instrumental in managing agency-wide travel, executive scheduling, high-level function planning, and company-wide meeting arrangements. This is a critical support role requiring discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities:

Executive Support:

  • Manage the President’s calendar, appointments, and travel arrangements.
  • Coordinate schedules across the leadership team and assist with meeting preparation and follow-ups.
  • Maintain confidentiality and discretion in handling sensitive information.

Travel Coordination:

  • Arrange all travel logistics for agency personnel including flights, hotel accommodations, ground transportation, and itineraries.
  • Track travel expenses and ensure compliance with company policies.

Event and Meeting Planning:

  • Organize high-level internal and external meetings, including but not limited to executive retreats, agency meetings, and client events.
  • Work alongside Seubert’s marketing team to plan and execute company-wide meetings including logistics, agendas, materials, catering, and technology needs.
  • Coordinate with vendors and venues to ensure seamless event execution.

Administrative Operations:

  • Maintain organized records of meetings, travel, and communications.
  • Prepare reports, presentations, and correspondence on behalf of the President and executive team.
  • Support additional administrative projects as assigned.

Qualifications/Requirements:

5+ years of experience in an Executive Administrative Assistant or Senior Administrative Professional supporting C-Suite Executives required

Proven experience in scheduling, travel management, and event coordination required

Familiarity with the insurance or financial services industry preferred

*This is a hybrid position requiring 4 in-office days and 1 remote day per week.*
